Overview: 

We are seeking a well-organized person with a positive attitude to deliver administrative support to our business leaders and best-in-class hospitality to our visitors.  The successful candidate will be responsible for the coordination of daily office functions and providing key administrative support to company leadership. Essential Functions:  

 

  1. Support our CEO directly with responsibility for calendar management, booking of travel and other tasks as needed  

  2. Manage the reception area to ensure effective telephone and mail communications both internally and externally in accordance with PJS standard of professionalism.  

  3. Manage mailings inbound and outbound; USPS, UPS, and Fedex.

  4. Maintain inventory for office supplies, equipment, and Bistro supplies. 

  5. Maintain the office in a clean state; managing the janitorial vendor.

  6. Coordinate the maintenance of office equipment, including copier, fax machine, etc.

  7. Support our CFO and Finance team with the execution of various forms and filings as needed

  8. Learn our Travel processes and serve as Back up Travel Manager as needed. 

  9. Managing the conference rooms: booking/reserving, cleaning, and stocking.

  10. Participate as needed in special department projects.

Work Environment

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and Chromecast.

Physical Demands

This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work are Monday through Friday, 9:00 a.m. to 6:00 p.m.

Travel

The person in this position may travel locally to pick up supplies and catering for office events. 

Required Education and Experience

  1. At least two years of previous experience in office management, administrative support or customer service

  2. Demonstrated proficiency in use of the Microsoft Office suite. Experience in use of the Google platform is a plus.

  3. Working knowledge of mail processes such as postage machine, FedEx and UPS.

  4. A professional appearance and demeanor and the maturity to handle sensitive information with discretion.

 Supervisory Responsibility

 This position does not manage others.
